Engineering Document Management for Utilities and Power

The utility and power sectors energize our society, doing so by maintaining daily operations on and off the clock while adhering to rigorous regulations overseen by The Federal Energy Regulatory Commission (FERC) and other government agencies. Companies in the electrical, gas, oil and hydro-power industries are required to follow established protocols for operations, machinery and other touch points to ensure health and safety of both workers and the general public. Dealing with these requirements exacerbates several key issues surrounding engineering documents, including: If not properly managed, hundreds up to tens of thousands of documents and drawings can be inadvertently deleted or shared with unauthorized users. An engineering document management system provides protection, security and continuity at the document level so companies can continue providing the highest level of service while complying with regulations.

Document-centric Workflows: What’s Your Pain Point?

Here are the five most common pain points we see experienced within companies and organizations: Pain Point #1:  Searching For Documents and Drawings Takes Not Sure the Found File is the Most Current Version We often find ourselves asking the question, am I 100 percent sure this is the most current version of the document or drawing? Version control issues are unavoidable if there’s no document management system in place. Pain Point #3:  We Can’t Afford to Have a Security Event or Lose Control of our Files As cyber-attacks increase, it’s critical to use a software stronger than a simple file share.

A Picture Is Worth a Thousand Words in a Workflow

Certainly, words can have much more granular meaning and can pose questions and positions that are difficult to convey with pictures, but the combination of words and images can be both powerful and effective, and in a business sense more efficient. Pictures Were Hard, Not Now Understandably, including pictures or video in the decision-making process was difficult, both from an acquisition and a distribution standpoint, in prior years. However, high resolution picture files, video files, and audio files, however, require viewing applications that many organizations just haven’t purchased or supplied to their employees. A good portion of today’s workforce have grown up with smartphones and tablets and are not only familiar with taking pictures and video but prefer these media to the written word (e.g., look at the success and usage of Youtube for everything from how-tos, to entertainment, to political expression).
